Office VoIP Phone Systems - Frequently Asked Questions

You should find all the answers to your questions about office VoIP phone systems below, but if you already know what you need and would just like to find out about costs, then please fill in the contact form and one of our team will be in touch soon.

Office VoIP phone systems sometimes referred to as IP telephony or IPT, is phone services delivered to you through the internet. Unlike an on-premise phone system (PBX), a hosted VoIP phone system exists entirely in the “Cloud”. VoIP technology delivers calls over the internet or private data networks, instead of over a traditional phone line

With office VoIP phone systems, you buy the telephones, setup, and training. However, instead of buying the phone system processor, you simply pay a monthly rental for ports on the offsite VoIP system. Your VoIP phones would then connect via the internet, using VoIP to the offsite phone system.

Office VoIP phone systems take just minutes to set up. Because all you need to do is plug your VoIP phones into the internet and you are up and running straight away. This means, that if you have staff based in different locations or who work from home, a cloud-based phone system will work the same. Whether you working from home or all in the same building. You can answer and transfer calls between all your staff regardless of their location.

VoIP makes your voice communication into digital data and sends it through your internet connection. So instead of your voice passing through a traditional phone line, it passes through your router instead.

To enjoy the full benefits of a VoIP phone system, you need to have a fast and reliable internet connection. This is because the service is delivered through the internet.  Bandwidth is defined as the ability to transfer data (such as a VoIP telephone call) from one point to another in a fixed amount of time. The higher the bandwidth speed you have, the more data you can send over your broadband internet connection.

With office VoIP phone systems you are not tied to your local area code. Meaning, that if you choose to use a VoIP provider we can port your number to your VoIP services because it’s not tied to a geographical location. This means we can route your telephone calls to anywhere you have an internet connection.

The bandwidth that your VoIP phone service requires ultimately depends on the volume of calls you expect to make and receive. Also, whether other wireless devices, such as laptops or tablets, are used concurrently in regular operations. The best way to determine this is to consider your peak call volume. Then check whether your internet service can support you in those busiest hours. We recommend asking these questions:

  1. What are the data upload and download speed that your ISP delivers? You can use a throughput test using a site like http://www.speedtest.net/.
  2. Do other applications or services run on your data network? If so, how much of your available bandwidth do they use?
  3. What’s the maximum number of concurrent calls your business could have?

It is worth noting that your upload speed is often slower than your download speed. So make sure that the lower number of the upload speed matches what you need. Our advice is to always run your VoIP phones where possible on a high-quality internet connection. Certainly with at least 100 Kbps upload bandwidth available for each call in progress at the same time.

Most ISPs can provide at least broadband speeds of more than 2MB. This is more than enough to handle several VoIP handsets. Although higher speeds may need dedicated equipment and always-on connections through ISP.

Your internet connection, and specifically bandwidth, is incredibly important to the success of your VoIP phone system. We strongly recommend that you trial your VoIP phone before going live. Leaving you time to prepare if you need to install a separate telephone line and broadband service if needed.

The cost savings involved with office VoIP phone systems are significant. With minimal hardware to buy upfront. No maintenance costs and monthly call charges are all-inclusive. It doesn’t matter if you’re a small business or a 500-person enterprise spread across many locations.
